How to Onboard a New Referring Dentist in Under 10 Minutes

The Most Fragile Moment in a Referring Relationship

When a dentist refers their first patient to you, they're putting something important on the line: their reputation with that patient. If the first experience is good, they keep sending you patients. If it's bad, you don't just lose that dentist — you lose every patient they would have referred over the next five years.

That's why it's worth investing 10 well-spent minutes in onboarding. Most centers invest none and leave the outcome to chance.

The 10-Minute Workflow, Step by Step

Minute 0-2: confirm the referral

When the dentist lets you know they're sending a patient, respond within 30 minutes with a structured message by text or email:

  • Confirmation of receipt.
  • Name and details of the incoming patient.
  • Type of study requested and anatomical region.
  • Prep instructions if applicable (remove piercings, glasses, removable dentures).
  • Appointment time and location.

If you're delivering digitally, mention it right here: "we'll send the study link to your email/phone as soon as it's ready."

Minute 2-4: log the referring dentist in your system

You need to save:

  • Full name and specialty.
  • Practice/license ID as required in your jurisdiction.
  • Direct cell number (not the front-desk line).
  • Professional email.
  • Practice address, for physical report delivery if applicable.

A basic CRM, or even Google Contacts with a "referring dentist" label, is enough to start.

Minute 4-6: invite them to your platform

If you use a digital viewer, send an email or text with:

  • A direct sign-up link to the center's platform.
  • A 60-second video showing how to open a study and use the viewer.
  • Confirmation that access is free for them.

The short video matters a lot. A dentist won't read a three-page tutorial, but they'll watch a one-minute video over coffee.

Minute 6-8: explain the delivery flow

One clear sentence: "As soon as the patient's study is done, you'll get a link by email and text. Open it from your phone or computer — nothing to install. The link never expires, so you can come back to it anytime."

If you offer a radiology report, be clear about turnaround time and cost.

Minute 8-10: close with a follow-up promise

Close the first contact with a concrete expectation: "After the study, I'll personally message you to confirm everything looks good. If you have any questions, here's my direct number."

That promise of personal contact is worth more than any brochure.

Text Message Template for First Contact

Suggested text:

"Hi Dr. [Name], this is [your name] from [brand] Imaging Center. We've confirmed the referral for [patient] for a small-FOV CBCT on [day] at [time]. Here's our platform link so you can view the study as soon as it's ready: [link]. Nothing to install. If you have any questions before the appointment, just message me here directly. Thanks!"

Three key elements: the name of a real person (not "the center"), a promise of a direct channel (not a call center), and an explicit mention of "nothing to install" (it addresses the most common objection).

The First Case Is the Demo

Choose carefully which case you use as the first delivery for a new referring dentist. Ideally:

  • Clear anatomy, no major artifacts.
  • Voxel size fine enough to look sharp.
  • A quick report, if you offer one.
  • Delivery in under an hour from acquisition.

If your first case takes 36 hours and the image has artifacts, you've burned your shot at a great first impression.

The 72-Hour Follow-Up

Three days after the first delivery, send a short message: "Doctor, everything look good with the study? Happy to help with anything." Zero sales pitch, pure attentiveness. The dentist notices, and picks you again for their next patient.

The 30-Day Follow-Up

If they haven't referred a second case in 30 days, send a genuine message: "Doctor, noticed we haven't heard from you this month. If there was anything about the last experience we could improve, I'd love to know." The reply gives you gold-standard information: most referring dentists who drift away do so over something small and fixable.

The Common Mistakes

  • Treating the referring dentist as a one-off client: if you only reach out when there's a patient, you're a vendor. If you reach out with value (shared cases, technical updates), you're a partner.
  • Assuming they know how to use the platform: even younger dentists appreciate a quick walkthrough.
  • Not assigning ownership: if no one at your center "owns" the Dr. X relationship, nobody notices when they stop referring patients.
